Impact Hub Ottawa Membership Terms & Conditions
Our Terms and Conditions were last updated in December, 2024.
Definitions:
For the purposes of these Terms and Conditions:
“Impact Hub Ottawa” (also referred to as we) means the corporate entity of Impact Hub Ottawa, registered as doing business at 123 Slater St., 6th floor, Ottawa, ON K1P5H2, or any of its staff.
“Premises” means the place of business of Impact Hub Ottawa, located at 123 Slater St, Floors 6 and 7, Ottawa, ON K1P 5H2
“Member” (also referred to as you) means any person who has or will pay for membership services provided by Impact Hub Ottawa or other legal entity on behalf of which such individual is accessing or using the membership services, as applicable
“Customer” means any person who has purchased services of any type from Impact Hub Ottawa, not limited to membership services
“Guest” means person or people invited to the Premises by Members or Customers who, themselves, have not paid Impact Hub Ottawa for services
“User” means any of the above defined as “Member”, “Customer” or “Guest”
“Membership” means paid subscription to access the premises or services provided by Impact Hub Ottawa
“Membership Plan” means the services provided as a package to Members by Impact Hub Ottawa.
Terms
Reasonable Precaution: You will take all reasonable precautions to ensure the security of the building and the Premises. If you become aware of any possible security issues, we request that you alert Impact Hub Ottawa staff as soon as possible.
Non-transferable: You acknowledge and agree that the membership granted to you is non-transferable and that your rights as an Impact Hub Ottawa member shall not be delegated to another individual.
Guests: Casual guests working in the Premises alongside or invited by paying members, who are not paying members themselves, are welcome. However, we ask that you do not abuse this policy. Guests who routinely work at Impact Hub Ottawa will be required to pay drop-in fees. It is the responsibility of the Member to ensure that any invited guests follow the terms and conditions outlined here that may apply during their stay.
Liability & Property: Impact Hub Ottawa shall not be liable for any theft, damage or loss of property of any Member, guest or customer. Impact Hub Ottawa reserves the right to prohibit the property of any User to be left on the Premises after the Hours of Operation (Monday to Friday, 8:30 am to 5:30 pm, except for Holidays). If the property of a customer or Member is abandoned on the Premises, Impact Hub Ottawa reserves the right to dispose of such property without liability after 7 days' notice to the user. Impact Hub Ottawa is not liable for any loss of business, loss of opportunity or loss of profits or for any other indirect or consequential loss or damage.
Internet Usage: Spamming, posting or downloading files that you know or should know are illegal or that you have no rights to, or accessing any other device connected to the Impact Hub Ottawa network or the internet you do not have permission to access are strictly prohibited. Usage of the internet for heavy downloading/uploading is not condoned and any acts which may affect the quality of usage of the service for other users are not tolerated. Impact Hub Ottawa reserves the right to limit or prohibit internet access of any user found to contravene these conditions.
Data Privacy & Policy: Beyond connecting to your local Impact Hub community, becoming a member of Impact Hub Ottawa comes with the opportunity to connect and collaborate with the global Impact Hub Network. In order to create your personal profile, Impact Hub Ottawa will share some information about you with Impact Hub GmbH, Lindengasse 56 / 18-19, 1070 Vienna, Austria. This shared information will be only available to the responsible employees of Impact Hub GmbH and the employees of Impact Hub Ottawa. To learn more about who Impact Hub GmbH is, how it will treat and keep safe your personal data, and how you can direct the processing of your personal data, please take a look at the Data Policy.
Recurring payments and Invoicing: Members are required to have a valid credit card on file, and to promptly notify Impact Hub Ottawa of any changes to the credit card on file. If this is not possible, arrangements must be made and agreed to by Impact Hub Ottawa for the prompt payment of fees on a monthly, annually or mutually agreed upon frequency. Recurring payments are charged to the credit card on file on the first day of every month. Invoices for non-recurring fees such as bookings or printing costs are charged on a monthly basis, and payment will be collected through credit card or the agreed-upon means at the beginning of each month.
Promotional Discounts: From time to time, Impact Hub Ottawa will offer discounts for multi-month membership purchases. The promotional discount is valid only during the specified promotional period. All purchases or registrations must be completed by the end date stated in the promotion. At the end of the promotional term, the membership will automatically revert to a standard month-to-month membership at the same level, unless canceled in accordance with the organization's cancellation policy. Discounts may be used only once per individual or organization during the promotional period and cannot be combined with other promotions, discounts, or offers, unless otherwise specified. Discounts are non-transferable and may only be used by the individual or organization to whom it was offered.
Cancelling and downgrading: Impact Hub Ottawa requires 30 days' notice from the first of the month for any downgrade or cancellation of a Membership Plan. Notice must be given through the Member Portal or via email to hello@hubottawa.org. Members are required to ensure that cancellation is acknowledged and accepted by Impact Hub Ottawa.
Refunds: Membership Plan fees are non-refundable, including multi-month fees paid as part of a discounted promotion.
Space rentals and memberships: To qualify for Member booking rates, we require a minimum of a three (3) month co-working membership commitment by those who make bookings. Memberships cannot be purchased for the purpose of acquiring discounted rates and then cancelled. If a membership is cancelled prematurely, the booking will revert to the standard public rate, and any outstanding fees will be collected.
Conduct: There is absolutely no illegal drug use or smoking of any kind tolerated on the premises. Any type of physical violence or threat of physical violence will not be tolerated and will be cause for immediate expulsion. Impact Hub Ottawa reserves the right to terminate a membership if a Member’s behaviour is deemed inappropriate or unacceptable. In such cases, a prorated refund will be issued for the portion of the membership fees corresponding to the unused period or unredeemed membership benefits. Memberships are non-transferable, and members may not delegate their rights or privileges to another individual.
Changes to Terms and Conditions: To ensure that the needs of all Impact Hub Ottawa Members and Users can be balanced, Impact Hub Ottawa reserves the right to add further rules or amend the rules contained herein to make Impact Hub Ottawa a more enjoyable and functional place for all. Changes to the above terms and conditions will be announced through regular membership communications (weekly newsletter) and will be posted in the member portal for access by any member.
Agreement: By entering into a membership with Impact Hub Ottawa, you agree to all of the terms and conditions outlined within. If you have any questions or concerns related to the terms, we ask that you address them with Impact Hub Ottawa as soon as possible.
